What Is Catch-Up Bookkeeping?

Catch-up bookkeeping is the work of bringing late, missing or untidy financial records up to date. A bookkeeper gathers statements, records and categorizes every transaction, reconciles each account, and corrects errors, so the books are accurate again and ready for normal monthly bookkeeping.

What does catch-up bookkeeping include?

It is a project with a start and an end, not an ongoing service. The usual parts are:

  • Collecting missing bank, card and loan statements.
  • Entering or importing transactions for every missing month.
  • Categorizing each transaction to the right account.
  • Reconciling bank and credit card accounts to their statements.
  • Correcting old mistakes: duplicates, wrong categories, transfers booked as income.
  • Reviewing accounts receivable and payable so open items are real.
  • Producing reports that can be trusted, such as profit and loss and the balance sheet.

Cleanup is the same work aimed at books that exist but are wrong. People use the two names loosely, and we offer both as catch-up and cleanup bookkeeping.

What are the signs your books are a mess?

You do not need an audit to know. Look for these:

  • Bank accounts in the accounting file have not been reconciled for months.
  • A large uncategorized or "ask my accountant" balance.
  • You cannot say whether last month made a profit.
  • Reports show negative balances that make no sense, such as negative inventory or negative cash.
  • Duplicate transactions or two versions of the same account.
  • Personal and business spending are mixed together.
  • Your tax professional keeps asking for the same missing information.
  • You avoid opening the accounting file.

If several sound familiar, a catch-up is likely worth considering.

Why do books fall behind?

Usually for ordinary reasons. These are five common reasons people come to us:

  1. They have no time.
  2. They do not understand the numbers.
  3. They are behind on the work.
  4. A previous accountant let them down.
  5. Their provider is retiring.

Falling behind is not a moral failing, and it is not unusual for a busy owner.

How is catch-up bookkeeping different from monthly bookkeeping?

Item Catch-up bookkeeping Monthly bookkeeping
Purpose Repair and bring current Keep current
Shape One-off project Ongoing, monthly cycle
Starting point Missing or wrong records Clean, current records
Pricing Quoted by condition and complexity Fixed monthly fee
What follows Often monthly bookkeeping Monthly reporting

After a catch-up project, some businesses move to monthly bookkeeping to stay current.

What does catch-up bookkeeping not do?

It does not prepare tax returns, audit your accounts or give investment advice. We work alongside your CPA or tax professional, and clean books make their work easier. This is general information, not tax or investment advice.

It also cannot invent records that do not exist. If a statement is gone, the work depends on what can be rebuilt, such as bank copies, invoices and payment processor reports.

Who needs catch-up bookkeeping?

Typically owners who got busy, owners who inherited messy books, and owners whose last provider left gaps. It can follow a change: a new accountant, a new software file, a move from spreadsheets to QuickBooks or Xero, or a sale or purchase of a business. In each case the aim is the same, an accurate record from a known start point to today.

Is catch-up bookkeeping worth it?

It is worth it when the books are used for something that matters: a lender asking for statements, a decision about hiring, a tax professional needing accurate figures, or simply wanting to know whether the business is making money. It is less worth it for a dormant business with no transactions, where there may be little to record. Ask your tax professional what they need.

The cost depends on the state of the books, which is explained in how much catch-up bookkeeping costs. The method is in how to catch up on bookkeeping, and there is a ready list in our catch-up bookkeeping checklist and QuickBooks cleanup checklist.

Where does catch-up bookkeeping fit with accounting and cash flow?

Bookkeeping records and organizes. Tax professionals prepare and file returns. If you are unsure of the split, see bookkeeper vs accountant vs CPA. Once books are current, you can read profit vs cash flow to understand what the numbers say. Our pricing page and what we do page explain how the services fit together, and the guides index lists the rest.

Common questions

What is catch-up bookkeeping?

It is a one-off project that records, categorizes and reconciles missing or inaccurate transactions so your books are current and reliable again.

What is the difference between catch-up and cleanup bookkeeping?

Catch-up fills in months that were never done. Cleanup corrects months that were done badly. Some projects need both.

How much does catch up bookkeeping cost?

It depends on how far behind you are, the number of accounts and the condition of the records. Our catch-up work is quoted separately for that reason. The cost page explains the drivers.

Do I need catch-up bookkeeping if I use QuickBooks or Xero?

Software records what you give it. If the bank feed was never reviewed, accounts were not reconciled or categories are wrong, the file still needs catching up.
