This page explains what personal information English Oak Financial LLC ("we", "us") collects through this website, what we do with it and how to contact us about it. It covers this website only. Information you give us as a client is covered by your engagement letter and our conversations with you.

What we collect, and when

When you send a message through the contact form

We receive what you type: the service you are asking about, your name, your company name (optional), your email address, your phone number (optional), whether you currently have an accountant or finance provider (optional) and your message. We also receive the page you sent it from. We use this only to reply to you and to discuss your enquiry. Sending the form does not put you on a mailing list.

When you sign up for updates in the website footer

We receive and store your email address, when you signed up and that you agreed to receive our emails. We store the address so we can send you occasional emails from English Oak Financial about our services and resources. To stop receiving them, email hello@englishoakfinancial.com and we will remove you.

When you call or email us

We keep the messages and call notes needed to respond to you and to keep a normal record of our business.

Fee estimate tool

Our fee estimate tool is on its own address, quotes.englishoakfinancial.com. You can choose services and options and see the estimate on screen without giving us any details. Details are asked for only when you send the estimate to us.

What it collects when you send an estimate

The tool requires your legal business name, business address, business type, your first and last name and your email address. It also offers optional boxes: trading name, business phone, fiscal year-end, cash or accrual basis, your position, your cell phone, your home address, a start date, your accounting software, and the name, contact and email address of a previous accountant or bookkeeper. Please leave out anything you are not comfortable sharing. Please do not enter bank account, card or government ID numbers.

What happens to it

The estimate is emailed to us at hello@englishoakfinancial.com, with everything you entered attached to that email.
You can choose to receive a copy by email. The box is ticked when the page loads, and you can untick it. The copy goes only to the address you enter, and only if the box is ticked. It is a fixed message with the estimate lines and totals, and it does not repeat your name, company, address or phone number.
Our form service keeps a record of each estimate so our staff can see the list of quotes: the estimate lines and totals, whether the email was sent, and your business name, your name and your email address. The other details you typed are in the email only.
For the copy we keep a coded form of your email address and its domain. To limit repeated sending the tool keeps a pseudonymised form of your IP address (a keyed code, not the address). The Google Cloud platform that runs the tool also keeps its own request logs, which record network details such as your IP address and browser, for a period Google sets.
Staff pages for the tool need a sign-in, and only listed staff addresses can sign in.

Cookies and other companies

The public estimate page does not use cookies or analytics. The tool runs on Google Firebase (hosting, the form service, the database and staff sign-in) and its emails are sent through Resend, an email delivery service. Staff sign-in uses Google's Firebase sign-in service, so signing in contacts Google. We have not set a deletion period for stored estimate records yet.

What this website does not do

It does not use advertising or tracking cookies, and it does not currently use website analytics.
It does not load scripts, fonts or images from other companies' servers. The fonts and images are served from this site.
Its finance calculators run in your browser. What you type into them is not sent to us or stored.
It does not ask for bank account, card, tax identification or other government ID numbers. Please do not send them through the forms.

If we add analytics or any other tracking later, we will update this page first.

Who handles your information

Website hosting. The site is served by Google Firebase Hosting. Like any web host, it processes technical details such as your IP address and browser type to deliver pages to you, and Google's platform keeps its own request logs for a period Google sets. The same applies to the form service described below.
Form delivery. When you submit a form, your details are sent to our form service, which is hosted on Google Firebase. For a contact message it emails the details to us at hello@englishoakfinancial.com through Resend, an email delivery service, and does not keep your personal details. For a newsletter sign-up it stores your email address and sends us a notice. To limit abuse it keeps a pseudonymised form of your IP address (a keyed code that changes daily, not the address) to limit repeated sending. Our email is provided by Microsoft 365.
Links to other sites. Our footer links to Facebook and Instagram, and the contact page links to Google Maps. Those companies have their own privacy policies and only receive information from you if you click through.

We do not sell your personal information. We share it with others only where needed to run our business (for example the providers above), where you ask us to, or where the law requires it.

How long we keep it

We keep enquiries and emails for as long as we need them to respond to you, to provide services if you become a client and to keep normal business records. If you want us to delete your enquiry or remove you from the updates list, ask us (see below).

Your choices

You can ask us to tell you what personal information we hold about you, to correct it, or to delete it, and you can ask us to stop sending you updates. Email hello@englishoakfinancial.com or call (801) 306-0710. Depending on where you live, the law may give you additional rights, and we will respect those that apply.

Security

Forms are sent over an encrypted connection. No website or email system is completely secure, so please do not send sensitive documents through the forms.

Children

This website is for business owners and is not aimed at children. We do not knowingly collect information from children.

Changes

If we change this page, we will update the date at the top.
