How should you use this checklist?

Work top to bottom. Each section depends on the one before it. Download: catch-up bookkeeping checklist (printable PDF). It is free, and there is no email form. It has the same steps with a box to tick for each and columns for who did it, the date and notes. You can also copy the list into a document or spreadsheet and mark items as you go. For the reasoning behind the order, read how to catch up on bookkeeping. If your file is QuickBooks and the problem is mess rather than gaps, the QuickBooks cleanup checklist goes deeper.

What should you gather first?

  • [ ] Bank statements for every business account, every missing month
  • [ ] Credit card statements, including cards used only sometimes
  • [ ] Loan and line of credit statements
  • [ ] Payment processor reports
  • [ ] Payroll reports and payroll tax filings, if you have staff
  • [ ] Sales invoices sent and supplier bills received
  • [ ] Receipts for large or unusual purchases
  • [ ] Login to your accounting file (QuickBooks or Xero)
  • [ ] Last reconciled month and its closing balance

What do you set up before entering anything?

  • [ ] Confirm the last month that matched the bank statement
  • [ ] Check opening balances against that statement
  • [ ] Review the chart of accounts and remove or merge duplicates
  • [ ] Check the bank feed covers the right dates and is not connected twice
  • [ ] Decide a holding category for transactions you cannot yet identify

What do you do for each missing month?

Repeat this block for every month, oldest first.

  • [ ] Import or enter every transaction
  • [ ] Remove duplicates
  • [ ] Mark transfers between your own accounts as transfers, not income or expense
  • [ ] Categorize each transaction
  • [ ] Separate personal spending from business spending
  • [ ] Reconcile each bank account to its statement until the difference is zero
  • [ ] Reconcile each credit card the same way
  • [ ] Note the closing balance before moving on

What open items need clearing?

  • [ ] Review the holding category and reclassify each item
  • [ ] Check accounts receivable: which invoices are really still owed?
  • [ ] Check accounts payable: which bills are really still unpaid?
  • [ ] Review loan balances against lender statements
  • [ ] Check payroll liabilities against payroll reports
  • [ ] Look for negative balances and explain each one

What do you review at the end?

  • [ ] Profit and loss makes sense month to month
  • [ ] Balance sheet matches the bank and loan balances you can see
  • [ ] No large unexplained balance remains
  • [ ] You can say whether each month made a profit
  • [ ] Questions for your tax professional are written down

What if a document is missing?

Do not stop the whole project. Request a copy from the bank or lender, check email and the online portal, and use payment processor reports or invoices to fill gaps. Record in a notes column what could and could not be confirmed, so your tax professional sees where the evidence is thin.

  • [ ] List every missing document
  • [ ] Request copies from each institution
  • [ ] Mark any item you rebuilt from secondary records
  • [ ] Mention gaps when you hand the file over

What are the common traps while catching up?

  • Skipping a reconciliation. One unreconciled month hides errors that surface later.
  • Plugging differences. Adding an adjusting entry to force a zero hides the cause.
  • Booking transfers as income. Moving money between your own accounts is neither income nor expense.
  • Guessing categories. Park unknowns in the holding category and resolve them with evidence.
  • Working newest first. Opening balances then do not line up.
  • Deleting reconciled transactions. Reverse the reconciliation properly in your software instead.

How do you know you are done?

You are done when every account reconciles to its statement for every month, the holding category is empty or explained, open invoices and bills are real, and the reports pass a sense check. At that point the file is ready for a monthly routine, with someone reconciling each month as it ends.

What happens after the checklist is done?
