What Is Month-End Close?
Month-end close is the routine of finishing your books for a month so the numbers are complete, checked and ready to report. It means recording every transaction, reconciling accounts, making adjustments and reviewing the result. After the close, the month is locked and the reports are meant to be final for that period.
What is month-end close in accounting?
Your accounting system records transactions all month, but at the end of the month the records are rarely finished. Some bills have not been entered. Some bank items have not been matched. A few entries are in the wrong category. The close is the structured pass that turns a running record into a finished month.
When a month is closed, the profit and loss, the balance sheet and the cash figures are meant to be final for that period. Changes after that point should be rare and deliberate.
What is the month-end close process?
Steps vary by business, but a typical close looks like this:
- Enter and categorize all transactions for the month
- Reconcile bank and credit-card accounts to the statements
- Review accounts receivable (what customers owe) and accounts payable (what you owe)
- Record adjustments, such as expenses that belong to the month but have not been billed
- Check balance sheet accounts for anything that looks wrong
- Review the profit and loss against the previous month and the budget
- Produce the financial statements and reports
- Lock the period
The month-end close checklist puts these into a list you can work through. Our month-end bookkeeping service covers this work, and the bookkeeping service covers the recording that feeds it.
How long does month-end close take?
It depends on the size of the business, the number of transactions, the state of the records and the tools used. Here is a published benchmark. According to Numeric, a software vendor, a 2022 Ventana Research survey found a month-end close should take three to six business days. The same article says that survey found 59% of businesses take six business days. Numeric notes the survey covered only 48 companies and calls it an invalid statistical sample, so treat it as a rough guide, not a target.
We do not state a turnaround time here. How long yours takes depends on how organized your records are going in.
Why does month-end close matter?
- Decisions made from unfinished numbers can be wrong
- Late closes mean late reports, and late reports mean late decisions
- Errors found a few weeks after the month are easier to fix than errors found a year later
- Lenders, investors and your tax professional often want clean, closed months
- Over time, a regular close shows patterns: costs creeping up, slow-paying customers, thin margins (see profit vs cash flow)
Who does the month-end close?
In a small business it is often the owner, a bookkeeper, or an outside firm. A bookkeeper usually does the recording and reconciling. A controller oversees and reviews the close, and signs off that the month is complete and reviewed. See what a fractional controller is and bookkeeper vs accountant vs controller. Where the close ends and forecasting begins is covered in controller vs CFO.
What does month-end close not include?
Closing the books is not the same as preparing tax returns, auditing, or investment advice. We do not offer those, and we work alongside your CPA or tax professional. This is general information, not tax advice.
When is a formal close not worth it?
If you have very few transactions, a simple bank account and no one else relying on your reports, a light monthly check may be enough. The more people depend on the numbers, the more a proper close matters.
What makes a close slow?
- Receipts and bills arriving late or not at all
- Bank and card feeds that were never reconciled during the month
- Categories that were guessed and now need rechecking
- Several people entering data in different ways
- No agreed checklist, so each month is done differently
- Questions that have to wait for the owner to answer
Most of these are habits, not talent problems. A regular rhythm, a written list and a reviewer make a close more predictable. The month-end close checklist is a starting point.
What is the difference between a soft close and a hard close?
Some teams talk about a quick, lighter close each month and a fuller one at quarter or year end. Terms vary between companies, so ask what a person means. For a small business the useful idea is simple: decide what must be true before you call a month finished, and write it down.
Example: what a closed month looks like
Example (illustrative): At the end of the month, the bank account reconciles to the statement with no unexplained difference. Every credit card is reconciled. Customer invoices are listed by age, and the overdue ones have been noted. Bills received are entered, and an adjustment records an expense for work done in the month but not yet billed. The profit and loss is compared with the month before and with the budget, and the owner has asked about the biggest differences. The period is then locked.
If that picture matches how your month ends, your close is in good shape. If not, a reviewer such as a controller can help close the gaps.
