Bookkeeping for an Ecommerce Business: Fractional CFO Support
Bookkeeping for an ecommerce business means sales channels reconciled to the bank, inventory and product margins tracked accurately, sales tax records kept clean, and a cash plan that covers stock purchases ahead of sales. This page explains those needs and how bookkeeping, controller and CFO support map to them.
What is ecommerce accounting?
E-commerce accounting is ordinary accounting applied to a business with unusual plumbing. Money moves through payment processors, marketplaces and shipping platforms before it reaches your bank. Each takes fees, holds funds for a time, and pays out in batches that do not match individual orders.
If the books record only the bank deposits, revenue is understated and fees are hidden. A sound set of books records gross sales, then refunds, then fees and shipping as separate lines, so that the payout reconciles to the activity behind it. That is the heart of e-commerce bookkeeping: matching each channel's report to the bank, in QuickBooks or Xero. Our bookkeeping service covers bank and card reconciliation in those files.
How should an online store track inventory and margin?
For sellers of physical goods, inventory is often a large asset and a major use of cash. Stock bought today is not sold for weeks. The cost of goods sold, which is what you paid for what you actually sold, needs to be recorded against the right sales, or product margins will be wrong.
Landed cost matters here too. Freight, duties and handling can be part of what a product really costs. Our guide to gross margin explains the idea. Margins are the kind of figure a fractional controller reviews in the monthly close, along with budget against actual results. Ask us how your own setup feeds the books.
Why do profit and cash differ so much for sellers?
A growing store often looks profitable and feels short of cash. Purchase orders to suppliers go out before the stock sells, marketplaces hold payouts, and ad spend is paid upfront. Our guide on profit vs cash flow covers the mechanics.
A cash forecast built from your reorder cycle, supplier terms and payout schedule shows when the next stock order can be afforded. This is fractional CFO work: forecasting, scenario planning, KPI development and pricing and profitability analysis. Typical questions include whether a larger order unlocks a better unit cost, and whether it can be paid for.
What about sales tax?
Selling online can create sales tax obligations in more than one state. The rules are set by each state, so check the relevant tax authority and your tax professional. This is general information, not tax advice. We offer sales tax support. We do not prepare tax returns.
How do Record it, Control it and Drive it map to an online store?

| Month-end close and margin analysis | Control it (controller) | Close oversight, budget vs actual, profitability analysis |
| Stock-buying cash plan, pricing, funding | Drive it (CFO) | Forecasting, scenarios, KPIs, funding readiness |
Starting prices are $500 a month for bookkeeping, $1,500 for a controller and $2,500 for a CFO, each a custom fixed monthly fee. See pricing and what we do.

Common questions
How do you do bookkeeping for a small ecommerce business?
A sound approach is to reconcile every sales channel and processor to the bank each month, record fees and refunds separately, keep inventory costs matched to sales, and close the books on a regular cycle. Our bookkeeping service covers bank and card reconciliation and the monthly close.
Does an ecommerce business need a fractional CFO?
It tends to help once you are committing real cash to stock, adding channels, or seeking funding. At that point forecasting and scenario planning become relevant.
Which accounting software do you use for ecommerce?
We work in QuickBooks and Xero. Ask us how your sales platforms and payment processors feed into either file.
